Guest Waivers
Any waiver can also be offered to members’ guests. Guest waivers are always optional at the front desk — they never block a check-in — but self check-in from the Klahaya app requires every guest in the party to have one on file.
Offering a waiver to guests
Section titled “Offering a waiver to guests”- Open the waiver under Admin › Waivers.
- Tick Offer to guests at check-in.
- Click Save changes.
Staff can now send guests to the waiver pad or show a QR code, and members checking in from the app are prompted to have their guests sign. A guest signs once per season; on later visits they’re recognised by name as On file.
Guest-only waivers
Section titled “Guest-only waivers”To create a waiver that members never see, untick Applies to members. The Who must sign? pickers disappear and the list shows the waiver as Guests only. Guest-only waivers are excluded from the member completion report. A waiver must apply to members, guests or both — the form refuses one that applies to nobody.
Public signing link
Section titled “Public signing link”A public link lets anyone read and sign a guest waiver ahead of a visit — no login, no staff, no host family.
- With Offer to guests at check-in on, tick Public signing link.
- Save the waiver. The link (
.../waiver/public/...) appears with Copy and Regenerate buttons; the form keeps you on the waiver so you can copy it. - Post the link on the club website or email it to guests.
The link only works while the waiver is active and offered to guests. Regenerate replaces it and immediately breaks the old one. Signatures collected this way appear in the guest waiver report with source Public link and no host family, and the front desk can reuse them when the guest arrives.
Embedding on the club website
Section titled “Embedding on the club website”The public page carries the club logo and is allowed to load inside an iframe on the club’s own website domain. Paste an iframe pointing at the public link into a page there; other domains are blocked.
Notifying staff
Section titled “Notifying staff”Under Admin › Waivers › Member Waivers, enter one or more addresses in Notify staff when a guest waiver is signed (comma-separated, up to 20). Each completed guest waiver — from the pad, a QR/phone link, the public link or the app — sends an email. This works regardless of whether member waivers are enabled.
