Limited Logins

A limited login belongs to a family but cannot act for it. It exists so a member’s teen can sign in as themselves, for example to work as a lifeguard, without being able to pay, register or change the family.

When they try something they cannot do, they see Ask a parent or guardian on your family account to do this.

A login starts out limited when it is created for, or linked to, a roster member who is under 18. This applies however the login is made: from Add staff, from Enable login or from Link to roster.

A login created from Add staff is also limited when the person’s member type is not an adult type, or they have no date of birth on file.

No existing login was limited when this feature arrived.

  1. Open the family and find the person on the People card. A limited login shows a Limited login badge.
  2. Click Limit login or Remove limit.

The same button is on the person’s staff page, under Login and family.

Only admins can change this. A member cannot change it for themselves or for anyone in their family. The change is recorded on the family’s History tab as limited login.

When a family leaves the club, a staff member in it can keep working. Detaching moves their login out of the family.

  1. Open the person from Admin > Staff.
  2. Under Login and family, find If the family leaves the club and click Detach from family.
  3. Confirm with Detach.

After detaching:

  • They keep their jobs, permissions, staff number and history.
  • Their login is no longer limited, and no longer opens the member portal. Signing in shows This is a staff account.
  • The family keeps its roster entry for them, and all of its records.
  • The family can give that roster entry a new login later.

Only a Super Admin can detach, and only someone who holds a staff role. For anyone else, move or remove them from the family page. Detaching is recorded in the Audit Log.
