Enabling Portal Login

A person in a family is either a login member (has an email and can sign in) or a roster member (a dependent with no login). Admins can give a roster member a login, and can link an existing login to the roster entry that represents the same person.

  1. On the family’s Overview tab, find the person in the People card. Roster members are marked no login.
  2. Click Enable login.
  3. In Create a login for [name]?, enter their Email and click Create login account.

This immediately creates a real login for that email — the person can sign in at the member portal right away. No email is sent. The new login carries over the roster person’s name, member type, date of birth and photo, and is linked to the roster entry, so the People card shows one row with a Roster badge rather than a duplicate.

Use the row’s Send Invite afterwards if you want the person to receive a sign-in link by email.

If the person is under 18, the new login is a limited login: it cannot pay, register or change the family. See Limited Logins.

Login members can do the same for adults on their own roster from Settings > My Family with Invite login — that path sends an invite email rather than activating immediately. See Family Roster.

A login created by invitation (from Invite login, an Add Person with an email, or the members import) shows an Invited badge until the person signs in for the first time. Two actions are available on the row:

  • Send Invite — emails a fresh sign-in link.
  • Activate — creates the account immediately without waiting for them to click the link.

The invite email is only ever sent to the address on file; the login is created for that address when they sign in.

If a person ended up as both a login row and a separate roster row (for example an adult invited before their roster entry was linked), collapse the two:

  1. On the login row, click Link to roster.
  2. In Link [name] to a roster member, pick the roster entry that is the same person.
  3. Click Link. The duplicate roster row merges into the login, and lesson registrations move with it.

Unlink roster reverses the link. Linking is always an explicit choice — the portal never matches people by name.

Linking a login to a roster entry for someone under 18 makes it a limited login, even if you had removed the limit before unlinking.
