Membership Settings
Admin > Settings > Membership (/admin/settings/membership) holds everything that defines a membership: the account types a family can hold, what each type can use, the member types people are classified as, the pool of member numbers, and the rules for adding people mid-season.
Account Types
Section titled “Account Types”See Account Types for the Account Types card, including member-number prefixes and the Counts as membership flag.
Account Type Access
Section titled “Account Type Access”The Account Type Access card decides which core functions each account type can use. For each account type, tick the functions to grant and click Save:
Lessons, Team Signups, Popsicle Punches, Check-ins & Guest Passes, Guest Pass Purchases, Volunteer, Merch Store.
- Access is opt-in: a new or unconfigured account type has no access to any of these until you tick boxes. A family whose account type grants nothing sees none of them.
- A feature must also be turned on globally in Feature Visibility to appear for anyone.
- Guest Pass Purchases also requires Check-ins & Guest Passes on the same type.
- Volunteer covers both volunteer hours and volunteer opportunities.
- Meet Schedule, Club Calendar, Member News, Custom Forms, Gifting and Facility Reservations are not in this matrix — they follow the global toggle only (several target account types on each record instead).
Member Types
Section titled “Member Types”Member types classify individuals on a family roster (for example Adult, Child, Nanny) and drive team-signup and lesson eligibility. In the Member Types card:
- Type a name under Add Member Type and click Add.
- Tick Portal login for types whose members can be given a login to manage the family account. Only people with a Portal-login type get the Email (optional) field when added and can be invited or enabled to sign in. The box is unticked by default for new types.
- Delete with the ×. Family members with that type lose their assignment, and any waiver targeted only at that type is deactivated.
Member Numbers
Section titled “Member Numbers”The Member Numbers card is the club’s pool of member numbers. Adding a family assigns one of the available numbers (see Add Family Wizard).
- Add numbers — enter single numbers or ranges, comma- or space-separated:
M205,M300-M350,EF900-903. Prefixes are uppercased; ranges keep their digit padding and are capped at 500 numbers each. Numbers already in the pool are skipped and reported. - The badges show how many are available, in use and retired. The table lists each Number, its Status and the Family holding it; filter it by number or family name.
- Retire removes a number from future assignment without affecting the family that holds it. Restore brings it back.
Which numbers an account type is offered depends on its Member number prefix on the Account Types card. A number with another type’s prefix is never offered cross-type.
Who can be added, and for how much
Section titled “Who can be added, and for how much”This card sets, per account type, which member types a family may add from Settings > My Family or the Klahaya app, and whether adding one carries a charge.
For each account type, each member type has:
- a checkbox — untick it and the row reads Restricted — can’t be added; members of that account type won’t see the type at all
- a $ price — the fee to add that type (0.00 = free)
- Recurring per season — when ticked, the fee must be re-purchased each season to keep the person active; members see a Renew for [season] button when a new season starts. Unticked means a one-time fee.
Click Save per account type. Unconfigured combinations are allowed and free, so a club that never touches this card behaves as before.
