Creating a Reservation Program
A reservation program is a facility offering — off-season lap swim, court hours — that members book one session at a time. The program sets who may book, the per-session fee and the defaults new sessions start with.
Creating a Program
Section titled “Creating a Program”- Go to Admin panel > Reservations and click New program
- Fill in Program details:
- Facility — choose the pool, court or other facility
- Name (e.g. “Masters lap swim”) and Description (optional)
- Start date and End date — every session must fall inside this range
- Who can book? — tick the account types allowed to book; leave all unchecked to allow every account type
- Requires approval — households must request access and be approved before booking
- Fee per person, per session (USD) — charged per confirmed swimmer to the household’s saved card when the session starts; cancel before the start and nothing is charged. Enter 0 for a free program.
- Default capacity — starting capacity for generated sessions (or tick Unlimited); each session can be adjusted later
- Waitlist enabled — members can join a waitlist when a session is full
- Waitlist cutoff (minutes) — automatic promotion from the waitlist stops this many minutes before a session starts (0–1440)
- Per-person upcoming limit — the most future confirmed reservations one person may hold at a time (or Unlimited)
- Member notes (optional) — shown to members on the booking screen
- Save the program
New programs start as a Draft. The program page shows summary cards (fee, default capacity, waitlist, per-person limit, eligibility) and three tabs: Sessions, Access requests and Settings.
Publishing
Section titled “Publishing”On the Settings tab, click Publish to make the program visible to eligible members. Published programs appear to eligible members, but sessions still need to be released (see Managing Sessions). Unpublish hides it again without touching existing reservations.
Deleting
Section titled “Deleting”Delete program is only possible before anyone has reserved. Once a program has reservations, unpublish it instead.
