Marketing Sync

The marketing sync pushes every member with a login into Resend as a contact, tagged with their member type, account type, teams, and volunteer-hours status, and maintains the sending segments you define — so a broadcast can go to exactly the right group without exporting a list.

  1. Go to Admin > Settings > Marketing
  2. In Email marketing sync, tick Enable nightly sync

The sync then runs every night. Click Sync now to run it immediately, or Re-sync all to re-push every contact (useful if Resend has drifted). The card shows Last synced with the contact count, membership changes, and any errors; a long run may finish in the background and the nightly run picks up anything left.

Only members who have activated their login and have an email address are synced. Invited-but-not-activated people are left out so nobody receives club mail off the back of an invitation they never accepted.

Besides name and email, each contact gets properties you can use in Resend: member type, whether they are an adult, family name, account types, sports (from paid team registrations this season), role, whether the family has children, the season, and hours_logged, hours_required, hours_remaining, and amount_owed for the current season.

Segments are the sending groups that appear in Resend. Under Segments:

  1. Click Add segment and give it a Segment name (e.g. “Swim Team Adults”)
  2. Choose the Season — Current season (auto) rolls over each season; pick a specific season to pin a lasting group
  3. Tick any Account types and Member types
  4. Tick Filter by team registration to pick Teams and registration Statuses (defaults to paid)
  5. Tick Filter by volunteer hours to choose a Balance (Still owes hours / Requirement met) and Progress (Has logged nothing / Has logged some)
  6. Click Save segments, then run Sync now to apply them in Resend

A contact joins a segment when it matches every filter; within a filter, any ticked value counts, and no filters means everyone. The live count beside each name shows how many contacts match. Account type, team, and volunteer-hours filters match the whole family; member type matches the person.

Ready-made HTML templates for broadcasts (general, swim, tennis, and water polo) live in the repository under marketing-email-templates/. Each marks its editable region between START EDITING and END EDITING and includes an optional flyer image block; paste one into a new Resend broadcast and change only what’s inside the markers.
