Membership Waitlist

Admin > Members > Membership Waitlist (/admin/waitlist) lists the households that joined through the public /join page, in queue order. Prospects sign up, confirm their email and (if configured) pay a join fee themselves; from here you offer memberships and convert accepted families into full members.

Each row shows # (queue position), Family, Contact (the primary login, with an Invited badge if they have never activated a login), Status, Joined, Offer expires and an Actions menu. Statuses are:

  • Finalizing — email confirmed, join fee not yet paid; holds a place but no number
  • Active — in the queue with a live position
  • Offered — a membership offer is out (expires after 7 days)
  • Accepted — the prospect accepted and paid dues; waiting for you to convert
  • Declined, Withdrawn, Converted — out of the queue

Click a row to open the family’s profile. Drag a row by its handle to change the queue order, then confirm Update waitlist order? with Update order.

  1. Open the row’s Actions menu and click Offer membership
  2. Choose the Membership tier (an account type other than the waitlist tier; each option shows the dues it would charge)
  3. Click Send offer

The family receives Your Klahaya membership offer is ready with a link to accept and pay the tier’s dues. Use Resend offer while it is out. An expired offer returns the family to Active in their original position — nothing is auto-offered to the next family; every offer is your decision.

  1. On an Accepted row, click Actions > Convert
  2. Convert to member shows the dues paid and when. Pick a Member number from the offered tier’s available numbers (add more under Membership settings if the list is empty)
  3. Click Convert

Converting assigns the member number, switches the family to the offered account type for the current season, records their Member since year and marks the entry Converted. The family’s status page then reads Welcome to the club!

  • View answers — the prospect’s answers to your extra questions (see Waitlist Settings)
  • Remove from waitlist — withdraws the entry; the family record remains
  • Backfill existing waitlist families (page header) — one-time: adds families already on the waitlist account type into the queue, ranked by their account number, ahead of new signups. Safe to re-run.

The Actions menu is greyed out on Converted and Withdrawn rows, which have nothing left to do.
