Self Check-in Settings

Self check-in lets members tap an NFC tag at the front desk to check in their family and guests from the Klahaya app. Configure it under Admin › Settings › Check-ins (/admin/settings/check-ins), in the Self check-in from the app card.

  • Enable self check-in — when on, the Check in button appears in the app for every family whose account type includes check-ins. When off, the button is hidden and a tap on the tag tells the member to see the front desk. Turn it on only once a tag is written and tested.
  • Treat a repeat tap as the same visit for (N) minutes — 1–120, default 15. A second check-in for the same person inside this window is not recorded again and uses no guest pass. After it, a new visit is recorded, the same as at the desk.
  • Message when the app sends a member to the desk — up to 300 characters, added after the reason when a family is flagged for check-in, has a dues hold, or the feature is off. Leave blank to show only the reason.

Click Save check-in settings when done.

Each physical tag carries a secret link. The club starts with one tag, Front desk, and can have up to 10.

  1. Click Add a tag and give it a label (for example “Tennis door”). New rows show Not saved yet.

  2. Under Default facilities for this tag, pick the facilities preselected for anyone who checks in from this tag. None selected means the club’s default facilities.

  3. Click Save check-in settings and create tags.

  4. On the saved tag, click Create secret. A warning appears: Write this link onto the tag now. It is shown once. Use Copy link, then write the link onto an NTAG213 with an NFC writer app (for example NFC Tools) as a URL record. Click I’ve written the tag when finished.

A tag’s badge shows its state: No secret yet, Active (with “Secret set (date)”) or Inactive.

  • Rotate secret replaces the link. Any physical tag still carrying the old link stops working the moment you rotate — re-write the tag.
  • Deactivate / Activate switches a tag off and on without changing its secret.
  • Remove deletes the tag and its secret when you save; use it to retire a tag that went missing.

The front-desk check-in station shows a Checked in from the app panel listing members who tapped a tag in the last 90 minutes, with the tag label, facilities and passes used, so staff don’t enter them again. The check-in report also marks each visit’s Source as App (with the tag label) or Desk.
