Access Requests

When a program has Requires approval turned on, households must request access before they can book. Requests are handled on the program’s Access requests tab.

  1. Open the program and click the Access requests tab (a badge shows how many are pending; the programs list also flags “N pending requests”)
  2. Requests are grouped under Pending, Approved and Denied / Revoked, each showing the household, any note the member wrote, and the request date
  3. On a pending request click Approve or Deny
  4. In the dialog, optionally set Access expires (leave blank to approve for the life of the program) and a Note (optional), then confirm

The household is notified of the decision. A denied household, or one whose approval has expired, can request again.

You don’t have to wait for a request. Click Grant access, search for the family, set Access expires and an optional note, and click Grant access. The household can book immediately.

On an approved household click Revoke access. The dialog lists the household’s Upcoming reservations and, if there are any, asks what to do with them:

  • Keep their existing reservations for review — cancel them one by one from each session’s roster
  • Cancel their future reservations now — waitlisted households are promoted where spots open up

Enter a Reason (e.g. “Household no longer eligible”) and confirm with Revoke access.
