Front-desk Check-in

The Check-in station (/checkin) is the front desk’s screen for recording pool visits. It’s available to anyone with the staff or admin role, from the shield menu in the header or the admin sidebar. The header links to the Waiver pad, the Popsicle register and Home.

  1. In Search by Member Number or Last Name, type a last name or legacy member number. Results show the family name, Member #, and badges: Suspended (flagged by an admin), In today (already checked in), and ✓ Card or No card for a card on file.

  2. Select the family. Every person is pre-selected — deselect anyone who isn’t coming in. Each card shows their photo, name, member type, Age, ID, and ⚠ Waiver if a waiver is unsigned.

  3. Tag facilities. Chips for each active facility appear under every selected person, pre-set from the club’s defaults; tap to change them per person.

  4. Add guests if any (see Guests at the desk).

  5. Click Complete check-in in the bottom bar, which also shows the running count (“2 members · 1 guest · 3 total”). Cancel clears the family.

A green card confirms Checked in (family) with the counts, time and names. Click Check in next family to jump back to the search box.

  • Emergency Contact Information — every adult in the family with a number on file, listed as Cell, Home and Work with tap-to-call links. Children are never listed.
  • Already checked in today at (time) — the family has a visit today; “from the app” means they self checked in. Continue if they’re re-entering or adding someone. This banner updates live, so two stations can’t double-check-in the same family.
  • Check-in flagged for this family. — an admin has flagged the family, with their reason. It’s a warning only; the check-in still goes through.

If anyone selected hasn’t signed the season’s waivers, an alert lists them:

  • Incomplete waivers — a warning; you can still check them in (the club’s own message follows).
  • Waivers required before check-in — when the club blocks on waivers, the button reads Waiver required until the member signs. Members sign on the website or in the Klahaya app.

When self check-in is on, a Checked in from the app panel sits above the search, listing members who tapped a tag in the last 90 minutes with their facilities, the tag label and passes used. These members don’t need to be entered again — search the family only to add guests, sell passes, or check in someone who didn’t tap.
