Guests at the Desk

The Guests section of the check-in station handles everything about a member’s guests: names, passes and waivers. The header shows the family’s balance (“3 passes available”).

  1. Type a name in Guest full name. Names the family has brought before are suggested as you type.
  2. Click + Add another guest for each additional guest, or ✕ to remove a row.
  3. Tag facilities for each guest with the chips under their name, the same as for members.

Each guest uses one pass when the check-in is completed.

If there are more guests than passes, a Need N more passes. box appears and the completion button reads Sell guest passes first.

  • Adjust the Sell quantity (it defaults to the shortfall), then click Charge card on file or Charge via reader. For the reader, hand it to the member — “Hand the reader to the member. Waiting for tap…” — and the passes are credited when the tap settles.
  • If the family’s account type can’t buy passes, the box explains that extra guests can’t be added beyond the balance and the button reads Not enough guest passes.

A guest can tap their own card on the reader instead of using the member’s passes or card. This works whether the family is short (Guest pays for their own pass →) or already covered (✓ Covered by the member’s available passes. with Guest pays for their own pass instead →).

  1. Click the link to expand the form.
  2. Set Passes, enter the Guest payer name (required) and an Email for receipt (optional).
  3. Click Charge guest’s card (reader) and hand the reader to the guest.

The guest’s card is never saved and no account is created. The pass is credited to the host family and consumed by this check-in, so the family’s own balance is unchanged. The completion button reads Waiting for tap… until the payment settles. A paired reader is required; guest pay isn’t offered when passes are free.

When the club offers a waiver to guests, a Guest waivers · optional block appears. Guest waivers never block a check-in.

  • As you type a name, ✓ On file appears if that guest already signed this season. If a similar name signed under another family or via the public link, a Seen before? box offers to Use this guest — reusing their signature instead of re-signing. Reuse is by name; check with the guest that it’s the same person.
  • Click Send to waiver pad to queue the remaining guests on the shared Waiver pad. Each name then shows Waiting… and flips to ✓ Signed live when they finish.
  • Click QR beside a waiting guest to show a code they can scan to sign on their own phone instead (the link is good for 60 minutes).
