Grouping Under Events
A big day like a home meet needs a dozen separate shifts. Grouping them under a volunteer event keeps the admin list filterable, gives the Google Sheet and CSV exports an Event column, and can tie the whole set to the matching club calendar event.
Creating an event
Section titled “Creating an event”- Go to Admin > Volunteer and click Manage events
- Fill in Event name (e.g. “Summer Invitational Meet”) and optionally Date, Season, and Description
- Under Link to a calendar event (optional), pick the club-calendar event for that day if there is one — the name and date fill in automatically when blank
- Click Add event
The table lists each event with its date and a 📅 Linked note when it is tied to a calendar event. Edit opens the same fields; Delete removes the event but leaves its opportunities in place, just ungrouped.
Assigning opportunities
Section titled “Assigning opportunities”On the opportunity form, the Event (optional) picker is date-aware. Once you set Starts at, it shows:
- No event
- Volunteer events on this day — existing events to choose from
- Calendar events on this day — club-calendar events not yet linked; picking one creates a volunteer event linked to it in one step
Expand Choose another event… to pick any event regardless of date.
What members see
Section titled “What members see”Members do not browse by event. Grouping shows up as the Event: label on the admin list and as a column in exports. To send members from the calendar to the shifts, add a Sign up to volunteer button to the calendar event — see Volunteer Buttons on Events.
