Signups Sheet & CSV Export

Organizers who live in spreadsheets can have every volunteer signup mirrored to a Google Sheet that updates itself, or download one-off CSV files.

  1. Go to Admin > Volunteer
  2. In the Google Sheets panel, click Create Sheet

A spreadsheet named Volunteer Signups is created in the club’s Shared Drive and filled in. From then on the panel shows Last synced, plus Sync now, Open, and Disconnect buttons. Share it by adding people to the Shared Drive in Google Drive.

The sync is one way, from the portal to the sheet — edits made in the sheet are overwritten on the next sync.

  • Opportunities — one row per opportunity, including those with no signups yet, so organizers can spot unfilled shifts. Columns: Event, Opportunity Title, Category, Date, Start Time, End Time, Location, Capacity, Signed Up, Spots Left, Waitlisted, Hours Credit, Published, Signed Up Names, Waitlisted Names
  • Volunteer Signups — one row per signup, including cancelled ones: Opportunity Title, Event, Category, Capacity, Date, Start Time, End Time, Location, Hours Credit, Signup Status, Signee Name, Signee Type (Account holder or Family member), Signee Email, Note, Signed Up At, Cancelled At
  • Sync Info — when the sheet was last synced, row counts per tab, and a note that it is a one-way sync

The sheet resyncs on its own whenever an opportunity is created, edited, or deleted, a member signs up or cancels, or an event is renamed or deleted. Sync now forces a full rewrite. If a tab is accidentally renamed or deleted, the next sync recreates it. Opportunities from archived seasons drop out of the sheet so it doesn’t grow forever; opportunities with no season always stay.

On the Volunteer Opportunities page:

  • Overview CSV — the same columns as the Opportunities tab
  • Signups CSV — the same columns as the Volunteer Signups tab

Both respect the Show past toggle. On an individual opportunity’s page, Download CSV exports just that opportunity’s signups.
