Jobs and Pay
A job says what someone can be scheduled and paid as. One person can hold several: a lifeguard who also coaches swim has two jobs, each with its own pay.
Only a Super Admin can change anything on this page.
Giving someone a job
Section titled “Giving someone a job”- Open the person from Admin > Staff.
- Under What does [name] do at the club?, tick the job.
- Enter the hourly pay in the Pay box beside it, if you know it. You can leave it empty and fill it in later.
- Click Save changes.
Untick a job to take it away. Ticking it again before you save brings back the pay it had.
Entering pay
Section titled “Entering pay”Enter dollars: 16, 16.50 or $16.50. 12.5 means $12.50.
A negative number, more than two decimal places, or anything over $1,000 an hour is refused, and nothing on the page is saved until it is fixed. The message names the job, such as Lifeguard: Enter an hourly rate like 16 or 16.50.
Empty the box to remove a pay rate without removing the job.
Who can see pay

For a viewer who cannot see pay, the rate is left out of the page altogether rather than shown blank.
Staff numbers
Section titled “Staff numbers”Every staff member has a staff number, such as KS-0021. It is assigned automatically the first time they are given a job or a permission, and shown under their name.
A staff number is an identifier for name tags, timesheets and search. It is not used to sign in.
To change one, click Change beside the number, edit it and click Save.
The format is one to four capital letters, a dash, then three to six digits. Lower-case letters are capitalised for you.

Former staff keep their number. It is not given to anyone else.
The club’s jobs
Section titled “The club’s jobs”Admin > Staff > Positions (/admin/staff/positions) lists the jobs the club offers. The club starts with Lifeguard, Head Guard, Lily Pad, Maintenance, Private lesson, Swim coach, Tennis coach and Water polo coach.
- Add a position: enter a Name, choose a Program if it belongs to one, and click Add position.
- Edit: change the name or program.
- Retire: stop offering the job. People who hold it keep it, marked Retired, and it is no longer offered to anyone else. Restore brings it back.
A job cannot be deleted, only retired, so the record of who held it stays intact.
The club’s programs
Section titled “The club’s programs”Programs are the parts of the club that jobs and program leads belong to. The club starts with Facility and guards, Lily Pad, Tennis, Swim team, Water polo and Activities.
They are listed under Programs on the same page, below the positions.
- Add a program: enter a Name and click Add program.
- Rename: change what the program is called. The new name appears everywhere at once: on positions, on the people who lead it, and in the staff list’s filter.
- Retire: stop offering the program. Nobody new can lead it, and no position can be moved into it. Whoever leads it keeps it, marked (retired), and the positions already in it stay as they are. Retire those separately if the jobs are ending too. Restore brings the program back.
Two programs cannot share a name. A program cannot be deleted, only retired.
