Club Calendar Setup

The club calendar is not edited in the portal — events live in Google Calendar and sync in every 15 minutes. In the Admin panel you connect the calendars that should appear, and layer club-specific details on top of individual events.

  1. Go to Admin > Calendar (under Programs) and click Add calendar
  2. Enter a Name — shown to members as the event category (e.g. “Swim Team”)
  3. Paste the Google calendar ID, found in Google Calendar under the calendar’s settings, Integrate calendar > Calendar ID
  4. Pick a Color for the category and a Sort order (lower numbers list first in the filter chips)
  5. Tick Visible on the public page if this calendar’s events should show on the logged-out /calendar page. Members always see it
  6. Leave Active on and click Add calendar

The form shows the app’s Google service-account address. Share the Google calendar with that address so the sync can read it. For members’ Add to your calendar links to work, the calendar must also be public in Google (Make available to public).

The calendar table shows each calendar’s Status (Active / Off), Public page (Visible / Members only), and Last synced time, with any sync error in red. Edit opens the same form; Remove calendar deletes its synced events without touching the Google calendar. Turning Active off stops syncing and hides the calendar without deleting it.

Events sync every 15 minutes, one month back to twelve months ahead. Click Sync now to pull changes immediately. Recurring events appear as individual instances, and events deleted in Google disappear on the next sync.

The Events section on the calendar page shows the same calendar members see. Click an event to open its admin page.

  1. Read the Google description card, if there is one, and click Open in Google Calendar to change the event itself (title, time, location)
  2. Under Added details, enter Additional details. Newlines are preserved and bare URLs become links. This text is shown to members instead of the Google description
  3. Click Add button to add up to three Buttons, each with a Label and a URL — internal (e.g. /home/lessons) or external
  4. Under Images, upload up to five flyers, photos, or maps (JPEG, PNG, WebP, or GIF, 5 MB each)
  5. Click Save details

Remove details clears everything you added for that event.
