Viewing Responses

Each form has a responses page where you can filter what came in, correct a submission, and send everything to a CSV or a live Google Sheet.

  1. Go to Admin > Forms
  2. Click the response count on a form’s row (for example 12 / 40 responses), or open the form and click View responses

The summary line at the top shows how many responses are confirmed, how many are waitlisted, and the cap when a limit is set. The table has one row per response with:

  • Status — Confirmed or Waitlist #n (only on forms with a limit)
  • Submitted — when it came in, plus an “edited” note if it was changed later
  • Family — family name and account number; anonymous submissions from a public link show Public
  • For — the person the response is about, on per-person forms
  • Submitted by — the login member who filled it in
  • One column per question, in form order

Use Filter by family, person, or account # to narrow the table, and the status dropdown (All statuses, Confirmed, Waitlisted) on capped forms.

Members can only revise their own answers when the form allows it, so the office sometimes has to fix a submission.

  1. Click the pencil icon (Edit response) on the row
  2. Change any answer and click Save changes

You can edit every answer, but not the family or person the response is about — those decide which row is which. To move a response to a different person, delete it and have the member resubmit.

The trash icon (Delete response) removes a submission after a confirmation. Every edit and deletion is recorded, and a linked Google Sheet updates automatically.

  • Export CSV downloads the filtered table. Columns are Status (if capped), Submitted, Updated, Family, Account #, Member #, For (per-person forms), Submitted By, Family Emails, and one column per question
  • Google Sheets — click Create Sheet to create a spreadsheet in the club’s Shared Drive with the same columns. It syncs one way from the portal, refreshed automatically as responses come in; Sync now forces a refresh, Open opens it, and Disconnect stops updating it (the spreadsheet stays in the Shared Drive)
