Creating Opportunities
A volunteer opportunity is a shift or role members sign themselves up for — a timer slot at a meet, a snack-bar shift, a work-party morning. Members see it on the Opportunities tab of their Volunteering page once you publish it.
Posting an opportunity
Section titled “Posting an opportunity”- Go to Admin > Volunteer (under Programs) and click New opportunity
- Fill in the form:
- Title — e.g. “Swim meet timer shift”
- Description — what volunteers will be doing and any prerequisites
- Location
- Starts at (required) and Ends at (optional) — the opportunity drops off the member list once it has ended
- Season (optional) — used for reporting and to keep the Google Sheet tidy once a season is archived
- Event (optional) — group this shift under an event; see Grouping Under Events
- Category — free text such as “Swim meet” or “Maintenance”, shown as a badge on the card
- Skill level — Not specified or 1 (Easy) to 5 (Hard)
- Hours credit — the hours a volunteer earns; it pre-fills the member’s log-hours form from the reminder email
- Set the capacity (see below)
- Tick Published when it’s ready for members, then click Create opportunity
Capacity
Section titled “Capacity”Tick Limit capacity to cap the number of volunteers and enter the Capacity. With Allow waitlist on, extra signups join a waitlist and are promoted automatically when someone cancels; off, the shift simply shows Full.
Leave Limit capacity unticked for an uncapped interest list. Members see “N interested” instead of a count, and the shift never fills.
Managing an opportunity
Section titled “Managing an opportunity”The Volunteer Opportunities list shows each opportunity with a Published or Draft badge and a meta line — date, event, Filled: 3 / 8, and Waitlist: 2 where relevant. Use the Event: chips to filter, and Show past to include opportunities that have already ended. View opens the detail page, which lists who is Signed up, on the Waitlist, and Cancelled, with each person’s email and any note they left. Remove cancels a signup on their behalf (the next waitlisted person is promoted, as if they had cancelled themselves). Download CSV exports that opportunity’s signups, Edit reopens the form, and Delete removes the opportunity and all its signups.
